Minutes of the PTA GBM Meeting – 2014 – 2015
Formation of PTA Executive Committee for the Academic
Year 2014 – 2015

Date of meeting – 12th July 2014

Meeting time – 10 am

Members present –

4. Mrs Asmita Phatak, Events co-coordinator, Millennium National School

Agenda of the meeting –

1) Overview of PTA body – its role and function
2) Selection of executive committee members

Minutes of the meeting –

10:00 AM – Decision to wait for 15 minutes was taken due to insufficient quorum.

10:15 AM – Meeting time postponed by another 10 minutes due to less quorum.

10:25 AM – The meeting started with the address by the chairperson Mrs Radhika Vaidya about how the process of executive committee formation would be carried out.

10:30 AM – Standards and divisions were called out serially, parents were asked to write their names on chits and draw was done. If only one parent was interested in being the PTA member, that parent was declared to be the representative of that division.

10:40 AM – There wasn’t any candidate from SC/ST category available from the classes which were reserved for the same. Interested parents belonging to open category were told that they could be on PTA only if we get the required representative from some other division.

10:45 AM – The selected members were told to gather at the same venue at 11 am to choose vice-chairperson and joint secretaries.

11:00 AM – For choosing vice chairperson and joint secretaries, parents were given a choice of draw or elections. Parents chose elections.

11:10 AM – The chairperson informed the parents about the roles and responsibilities of the vice chairperson and joint secretaries. The GR regarding PTA formation was also read out to all the selected representatives. She also talked about the initiatives and contribution of the previous PTA.

11:20 AM – Parents were asked to contest for the post of vice chairperson.
Interested parents campaigned for themselves.
Mr. Anand Karwa got selected as vice-chairperson with 14 votes against 8 and 12

11:40 AM – Parents were asked to contest for the post of joint secretaries.
Interested parents campaigned for themselves.

Mr Prasad Sardeshpande (23 votes) and Mrs Jaee Edlabadkar (9 votes) were selected as joint secretaries.
12:00 NOON – The chairperson stated that the first meeting would be held before 15th August and the exact date, time and agenda would be communicated to all well in advance.
